Room Use Policies

Availability

  • The resources of the ClicThreeHills ClicSite are available to everyone.
  • Government of Alberta tenants in the Three Hills Provincial Building and agencies directly associated with them may use the meeting rooms at no charge, have first call on the use of meeting rooms and may pre-empt other confirmed reservations.
  • Other tenants in the Three Hills Provincial Building have precedence in reserving meeting rooms, but may not pre-empt other confirmed reservations and are subject to the rates.
  • Small groups that reserved larger rooms may be re-located to a smaller room to meet the needs of a larger group.
  • The ClicSite is available Monday to Saturday from 7:00 a.m. to 11:00 p.m., and at other times by prior arrangement.
  • Reservations for regularly scheduled times over longer periods are welcome if they do not conflict with the needs of others.
  • Access to rooms and resources is provided one-half hour prior to the scheduled time, and otherwise by prior arrangement.
  • Intensive use of the Production Centre for any length of time must be arranged prior to.

 

Keys

 

  • Arrangements for keys to the Provincial Building and ClicSite should be made with the reservation.
  • There will be a charge to replace any lost keys, which may include the cost of changing any door locks if necessary.
  • If the ClicSite is used after business hours, and the Public Library is closed, users must ensure that all ClicSite doors and all exits to the Provincial Building are locked when they leave.
  • Keys may be left in the Children’s Services drop box at the ClicSite’s main office door.

 

Cleaning

 

  • The Meeting Room must be tidied immediately after using it. This includes:

- Hand washing and drying china cups and water glasses.

- Wiping the kitchen countertops.

- Spraying desk tops with supplied cleaner and wiping dry with paper towel

- Placing all wet and dry garbage in the commercial bin behind the Provincial Building

- Removing personal belongings.

 

Technology & Equipment

 

  • The ClicSite Director and staff are available to provide Help Desk support.
  • Equipment like laptops, tele/videoconferencing equipment, SMART Boards, telephones and cameras will be ready for use one-half hour before the scheduled time.
  • Easy-to-follow instruction will be provided in the use of equipment and technology.
  • ClicSite staff will help set up equipment for media presentations. This includes connecting VHS or DVD players to presentation monitors, loading CDs or USB flash drives to ClicSite CPUs, transferring presenters’ media files to ClicSite laptops, connecting presenters’ laptops to presentation monitors, etcetera.
  • Users planning to use computers to make presentations should bring a USB flash drive or CD with a copy of all media files.
  • The playback speaker volume for media presentations must be set at levels that do not disturb other tenants in the Provincial Building.
  • Videoconferencing sessions will require a connectivity test 24 – 72 hours prior to, and again immediately before.
  • Users may not change any settings on any ClicSite equipment.
  • Users’ management of videoconferencing settings will be restricted to adjusting the speaker volume and the camera view.
  • Users may not write with chalk, magic markers or felt pens on the SMART Board screens.
  • No food or drink is permitted near computers or other technology.
  • Do not clean any equipment after using it. ClicSite staff will do this.

 

Room Use

 

  • Users may not sit on desks, tables or counters.
  • Do not lock the rolling castors on desks, chairs, podiums or SMART Boards.
  • Furniture in the room will be positioned as requested and ready for use one-half hour before the scheduled time. Re-arranging the furniture should be kept to a minimum to avoid damage.
  • Users may not post any papers on walls with pins, thumbtacks or tape. Users may not tape papers to the blinds, SMART Board screens or videoconferencing monitors. Papers can be posted only on bulletin boards and the wire lines provided.

 

Food Preparation

 

  • All food preparation and serving must be confined to the kitchen countertops.
  • The coffeemakers and microwave must remain in the kitchen.
  • The coffeemakers, thermal flasks, china cups, water glasses, refrigerator and microwave may be used only with permission.
  • The consumables stored in the kitchen - coffee, tea, condiments, bottled water, Styrofoam cups, plastic glasses, utensils and paper plates - may be used only if ordered with the reservation.
  • Users are free to supply their own food, refreshments and dishes.

 

Amenities

 

  • Free wireless high speed Internet access is available throughout the ClicSite.
  • Public wheelchair-accessible washrooms are available in the common area of the Provincial Building.

 

Fees

 

  • All fees are payable when making a reservation to confirm the reservation. Other arrangements will be considered if warranted.
  • A damage deposit will be required.
  • Reservation fees are fully refundable with five business days notice and are 25% refundable with shorter notice.
  • A fee will be charged for repairing damages to walls, furniture and equipment, or for replacing lost or damaged items.
